Job Summary:
As a Client Accounts Assistant at VIDOUN, you will play a pivotal role in supporting the agency’s operations and assisting with the administrative needs of their Partners. You will be an integral part of their team, ensuring smooth day-to-day functioning and maintaining efficient processes. The successful candidate will be responsible for organizing the day-to-day activities of the agency’s client accounts while assisting in operational functions of the agency and adding the leadership with admin needs. You will assist in administering agency policy and overseeing adherence to agency practices. They are looking for someone with 1-2 years of experience who will bring innovation and ideas that will enhance their agency and will swiftly adapt to a dynamic environment.
Responsibilities:
● Assisting in the management of client accounts: This involves maintaining strong relationships with clients, ensuring their needs are met and providing excellent customer service.
● Coordinating projects: Client account assistants help manage projects by liaising between the client and the creative team. This may include scheduling meetings, communicating project status updates, and coordinating deliverables.
● Conducting research: To ensure that projects meet clients’ needs, client account assistants conduct research on clients’ industries, target audiences, and competitors.
● Creating and managing client meeting agendas and client reports: Client account assistants are responsible for creating and managing client meeting agendas and client reports to track project progress, financials, and other key performance indicators.
● Assisting with budget management: Client account assistants may assist in managing project budgets, tracking expenses, and ensuring that projects are delivered within budget constraints.
● Maintaining records: Client account assistants maintain project files and records, ensuring that all documentation is up-to-date and accurate.
● Providing administrative support: Client account assistants provide administrative support to the client account management team, which may include scheduling appointments, answering phones, and responding to client inquiries.
● Maintain efficiency: Contribute to the agency’s continued efficiency by streamlining processes, optimizing workflows, and implementing best practices.
● Exceed client expectations: Work diligently to exceed client expectations and ensure top-level agency representation for all clients.
● Stay up-to-date with industry trends: Maintain a strong interest and knowledge in business, finance, tech, art, fashion, architecture, design, and culture, allowing you to contribute fresh ideas and insights to client projects.
● Collaborate with cross-functional teams: Work closely with various teams within the agency, including creative, marketing, and finance, to coordinate efforts and deliver exceptional results for clients.
● Support special projects: Contribute to special projects and initiatives as assigned, bringing creativity and dedication to achieve successful outcomes.
● Provide administrative support: Assist with the day-to-day needs of the agency and the Partners, handling tasks such as correspondence, scheduling, and document management.
● Assist with partner affairs: Help manage short- and long-term affairs of the Partners, providing support in various areas as required.
● Keep client-facing Click-Up and Google sheets up to date with all relevant notes, tasks, lists and programming.
● Set and run weekly meetings with clients to review strategy is in play, detailing actionable items and clear delegation of tasks.
Qualifications:
● Proven experience (1-2 years) in agency client account management or in a similar role, preferably within the creative or marketing industry.
● Strong organizational skills and attention to detail.
● Excellent research, writing, communication and interpersonal skills.
● Ability to work autonomously and efficiently in a fast-paced environment.
● Proficiency in office productivity software and digital tools.
● Passion for business, finance, tech, art, fashion, architecture, design, and culture.
● Bachelor’s degree in a related field preferred, but not required.
Job Type: Contract
Commitment: 1 year contract
Compensation: $18.00 to $20.00 per hour; potential for annual bonus

Schedule: Monday to Friday
